The Front Desk Facilitator will support the facilitation of reception and front line customer service.

Main responsibilities:

• Manage and upkeep the conference rooms /facilities
• Manage meeting rooms/facilities bookings for internal and external meetings
• Keep front desk tidy and presentable with all necessary material(pens, forms, paper etc.)
• Greet and assist visitors to the office
• Answer questions and address complaints
• Answer all incoming calls and redirect them or keep messages and send them to the respective colleagues
• Check, sort and forward incoming faxes and disseminate these to the respective practice groups/departments
• Manage company car bookings and liaise with drivers on the arrangement
• Book conference calls, rooms, taxis, couriers and hotels for visitors
• Monitor office supplies of the office bistro and place orders when necessary
• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
• Keep files and records updated
• Keep track of and update the Global Event and Meeting Team on upcoming events
• Take up other duties as assigned (travel arrangements, schedules etc.)
